About the Portfolio
This is a truly exceptional opportunity to manage one of London's most prestigious properties. Our client's EMEAl headquarters is a Grade II listed landmark building located in Mayfair, housing world-class exhibitions, sale rooms, and client-facing spaces that support their position as a leading luxury and fine arts business in globally. This role requires a sophisticated understanding of building management combined with the operational excellence demanded by a high-profile, client-centric business operating at the pinnacle of the luxury market.
Role Purpose
We currently have an exciting opportunity for a Senior Facilities Manager to oversee our UK portfolio which includes the client's global HQ based in central London. The Senior Facilities Manager UK will report directly to the Account Director, working with the account team to ensure management of the day-to-day client activities for the assigned property/facility and support the account by being the key point of contact for all building-related matters.
The role will have responsibility for stakeholder management, building engagement with site users, managing a busy small works projects schedule, collaborating with project managers and consultants on site, and helping guide our client into better ways of working. This, whilst ensuring high service quality, helpdesk task resolution, maintenance and operations, contract services, safe working practices, purchasing of material, equipment & supplies, and site budget accuracy—all within the unique context of a Grade II listed heritage building housing high-value artworks and luxury goods since 1862.
What This Job Involves
Overall Site Responsibility & Heritage Stewardship
- Overall responsibility of the site(s) within the portfolio, with particular focus on the careful stewardship of the Grade II listed headquarters property
- Collaborate with the client to ensure our scope of maintenance, alterations, and improvements comply with Historic England requirements and listed building consent protocols
- Where necessary, work closely with the client’s conservation specialists, heritage consultants, and with local authority conservation officers to balance preservation requirements with operational needs
- Ensure climate control systems maintain precise conditions required for valuable artworks and luxury goods
- Work with the client’s Security team within their security scope and protocols for high-value inventory including access controls and CCTV systems
Leadership & Team Management
- Provide managerial overview and guidance to the Facilities team
- Manage and mentor the Facilities team, developing and sustaining a high-quality, well-motivated team
- Build and maintain an environment that supports teamwork, cooperation, and performance excellence within the team
M&E Oversight & Building Systems
- Oversight, responsibility, and management of key M&E deliverables for the site via JLL Engineering colleagues/management
- Ensuring site-specific statutory and PPM schedules are adhered to and reported via the appropriate platforms (Corrigo & Azara) in line with contractual and legislative requirements
- Ensure Corrigo reflects the correct scheduling and assets for the portfolio via the Corrigo Platform Team and JLL Engineering Colleagues
- Oversight of the management of the building management system (BMS) and ensure 24/7 operational readiness of all critical systems appropriate against the scope and site requirements
Client/Stakeholder Management
- Proactively engage stakeholders to ensure that on-site client expectations are met
- Act as off-site key point of contact for Facilities in the client's premises
- Collaborate with client’s senior leadership and their gallery operations teams to optimize space utilization across exhibition rooms, sale rooms, offices, and storage facilities.
- Ensure all client-facing areas reflect the client’s brand standards and provide an exceptional experience befitting a luxury environment
- Support exhibition programming with rapid turnaround space transformations and bespoke installation requirements
Vendor Management
- Manage soft services, engineering, stationery, courier services, mail rooms, furniture, small projects, catering consumables, and security arrangements
- Procure, manage, and performance-monitor specialist contractors including M&E engineers, conservation specialists, security providers, cleaning services, and trade contractors
- Attend monthly meetings with vendors to review service delivery, KPIs, monthly reporting requirements, portfolio changes, and general feedback sessions
- Monthly meetings with JLL Sourcing lead to ensure vendors are up to date on contractual changes and review KPI percentages to ensure fee at risk is being reviewed and managed
- Maintain robust supplier relationships ensuring all work meets the exacting standards required for a heritage property and luxury brand environment
Finance Management / Cost Control / Profitability
- Actively work with the Account Director and Finance Director to ensure that the site's financial operations are meeting or exceeding targets and control requirements
- Develop and manage the annual facilities budget (capital and operational expenditure)
- Track costs, identify efficiency opportunities, process invoices, and provide regular financial reporting to senior management
- Build business cases for capital projects and improvement initiatives
- Ensure financial processes are always followed
Health & Safety Management
- Ensure the provision of a safe working environment
- Ensure compliance with statutory regulations on fire, health and safety standards, building regulations, insurance requirements, and listed building restrictions
- Conduct regular risk assessments, manage statutory inspections, and maintain comprehensive compliance documentation
- Liaise with regulatory bodies as required
Site Operations Management
- Recommend continuous quality improvement practices and implement Industry Best Practice operations
- Implement building procedures and performance measures and ensure they are always maintained
- Review existing operations regularly to reduce costs and improve operational standards
- Oversee all hard and soft services across the property including HVAC systems, electrical and mechanical plant, plumbing, fabric maintenance, cleaning, security, waste management, and environmental services
Risk Management
- Ensure a property risk management program including audits (HSE included) is implemented and maintained
- Ensure disaster recovery and business continuity plans are implemented and maintained in line with client/site requirements
- Ensure escalation procedures and incident reporting procedures are implemented and in place
- Act as primary escalation point for building emergencies and coordinate emergency responses
- Assist in the development of guidelines and strategies to ensure compliance with Jones Lang LaSalle's business conduct
Performance Management
- Achieve Key Performance Indicators and Service Level Agreement targets
- Ensure helpdesk task resolution meets agreed service standards
- Monitor and report on all operational metrics
Project Management
- Independently handle and perform Project Management for Small Works mainly in UK as appointed by the client's team to manage, financially control, and deliver to its capital plan
- Manage, coordinate, and control the delivery of projects from inception to completion
- Manage small, ground-up projects including programming, design, entitlements, bidding, permitting, and construction management—all within listed building consent frameworks
- Oversee capital improvement/asset preservation programs with design and construction processes with minimal oversight
- Manage own project budgets for subject properties and maintain forecasts and cash flow analysis
- Assist in or be responsible for project scheduling and project decisions based upon owners' objectives which may include site improvements, entitlements, permits, consultant selection, design team management, schedule creation and management, contractor selection and management, and financial management
- Assist and manage required teams of consultants and contractors, interfacing with architects, client staff, property managers, and vendors
- Provide appropriate level of on-site supervision to ensure project performance criteria are being met
- Develop relationships with consultants/contractors/vendors and evaluate their performance
- Operate independently on activities relevant to projects
- Participate periodically in client meetings or business development presentations as part of a team to help demonstrate our capabilities
- Maintain a working knowledge of business unit's available product and service offerings
- Manage the programming and scheduling of work activities throughout all stages of the project lifecycle
- Budget and cost planning, cost management
- Understanding of CDM 2015; how to implement/administer for the given appointed role(s)
Sustainability Initiatives
- Implement energy efficiency measures appropriate for a listed building context
- Monitor utility consumption, identify reduction opportunities, and support corporate sustainability objectives
- Manage waste reduction programs

Essential Experience
- Minimum 7-10 years facilities management experience with at least 3-5 years in a leadership role
- Experience in high-end retail, luxury hospitality, fine arts, auction houses, galleries, or similar prestige environments
- Experience in facilities management, building, business, or another related field
- Well organized and self-starter with independent, resourceful approach
- Excellent people skills and ability to interact with a wide range of client staff and demands
- Strong PC literacy and proven ability to manage daily activities using various systems i.e. Corrigo, Azara, etc.
- Demonstrated experience with continuous improvement initiatives (highly desirable)
- Knowledge of vendor management for specialized services
- Knowledge of critical facilities and an understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)
- Proven capacity to understand and interpret commercial contracts
- Budget management and financial analysis skills
- Ability to travel to visit sites within portfolio
Essential Qualifications & Compliance Knowledge
- IWFM/BIFM qualification (or working towards) or equivalent professional certification
- IOSH Managing Safely or NEBOSH General Certificate in Health & Safety
- Knowledge of Occupational Safety requirements
- Familiarity with fire safety regulations, CDM 2015 regulations, and building compliance frameworks
Desirable Experience & Qualifications
- Knowledge of art handling, installation, and conservation best practices
- Understanding of auction house or gallery operational requirements
- Project management qualification (PRINCE2, APM, or similar)
- Membership of relevant professional bodies (IWFM, RICS, IHBC)
- Experience working with high-net-worth clients or VIP visitors
