The Role's Purpose
The Facilities Manager at Plexal oversees the day‑to‑day management of workspace environments across both Stratford and Shoreditch sites. This hands‑on role ensures that all facilities operate safely, efficiently, and in compliance with health and safety requirements while responding to member needs. By fostering seamless operations and an excellent workplace experience, the Facilities Manager supports Plexal’s vibrant community and business objectives.  
 
The position is responsible for maintaining high standards across all physical spaces - from offices and event venues to specialised areas such as innovation labs and makers’ yards - while coordinating service providers and contractors. The Facilities Manager will oversee day‑to‑day operations, manage contractors, handle reactive and planned maintenance, and work closely with the wider Operations and Workspace teams.
What You'll Do
Facilities 
  • Contribute to the strategy and vision forPlexal’sLondon workspaces.
  • Manage the Facilities team and external vendors/third‑party contractors (security, cleaning, electrical, water, HVAC).
  • Build andmaintainpositive relationships with both internal and external stakeholders.
  • Manage the CAFM helpdesk.
  • Contribute to facilities budgets,procurementand CAPEX.
  • Manage all changes to the physical workspace.
  • Manage and deliver office moves.
  • Conduct regular building inspections and walk‑arounds toidentifyissues early and ensurehigh standardsof presentation and safety.
  • Respond to and resolve reactive maintenance issues promptly.
  • Manage planned preventative maintenance (PPM) schedules and ensuretimelycompletion.

Health and Safety 

  • Contribute toward health and safety across allPlexalcentres.
  • Create andmaintainH&S policies for workspaces and non‑workspace areas (events, kitchens, makers’ yard, innovation lab).
  • Ensure compliance with all relevant laws and regulations.

Security 

  • Maintain the physical security ofPlexalcentres.
  • Liaise with Here East and Olympic Park security.

Member Requests 

  • Address member facilities requests andmaintaintracking logs.
  • Provide updates where immediate resolution is not possible.
  • Delight customers wherever possible.

Systems 

  • Maintain systems and logs for electrical, water and HVAC.
  • Maintain lighting and test power outlets/equipment.
  • Ensure safe and available water supply.
  • Maintain HVAC systems and logs.

Workspace Maintenance 

  • Maintain physical workspace elements (walls, doors, furniture, green wall, coffee points).
  • Manage physical moves within the workspace.
  • Ensure cleanliness acrossPlexalspaces (workspace, makers’ yard, innovation lab, event spaces).

Ad‑hoc Responsibilities 

  • Assistwith carbon reporting where.
  • Assistwith furniture moves and event delivery as needed.
This role will require occasional travel to other Plexal sites.
Your Skills
  • Strong understanding of building systems (HVAC, electrical, plumbing).
  • Ability to manage budgets and negotiate contracts effectively.
  • Proficient in facilities management software and systems.
  • Excellent project management and organisational abilities.
  • Excellent communication and stakeholder management skills.
Your Experience
  • Health and Safety qualifications essential.
  • Project Management qualifications desirable.
  • Mechanical or electrical qualification desirable.
  • Familiarity with health and safety legislation and compliance standards.
  • Experience working in a fast‑paced, customer‑focused environment.
